How to Import Spices from India: A Step-by-Step Buyer's Guide

Step 1: Identify Your Product and Specification

Before approaching any supplier, define your technical specification: What product? (e.g., Cumin Whole Grade I), What form? (Whole / Ground / Steam Sterilized), Moisture max?, Foreign matter max?, Any certificate required? (Organic, Halal, Kosher, ETO-free?), Destination country compliance requirements?

Step 2: Find and Verify a Reliable Supplier

Red flags to avoid: No Spices Board of India registration, No physical processing unit (broker-only), Unwilling to share lab test reports, Prices too low to be genuine (adulteration risk).

Green flags to look for: Spices Board registration certificate, APEDA registration, ISO 22000 / FSSC 22000 certification, Willingness to provide pre-shipment sample, References from existing international buyers.

Step 3: Request a Sample and Lab Test

Always request a pre-shipment sample (50–500g) before placing a bulk order. Have it independently tested for: Moisture content, Foreign matter, Volatile oil content, Colour value (ASTA), Curcumin % (for turmeric), Microbial parameters (TPC, E. coli, Salmonella), Heavy metals (Lead, Cadmium, Mercury, Arsenic), Pesticide residue screen.

Step 4: Negotiate Pricing and Incoterms

Step 6: Mandatory Export Documents from India

1. Commercial Invoice cum Packing List 2. Shipping Bill (customs export declaration) 3. Bill of Lading (B/L) or Airway Bill 4. Certificate of Origin (COO) — issued by Export Inspection Council 5. Phytosanitary Certificate — issued by Plant Quarantine Authority 6. Spices Board of India Certificate — mandatory for spice exports 7. Fumigation Certificate — if required by destination country 8. Lab Test Reports — NABL-accredited, within 3 months of shipment
